Leadership Team Touchstones

2017-2018 Board of Directors

  • Be civil at all times to one another

** Executive Committee

Protocols for Board Meetings

  • A convener for each meeting will be designated by the Board
  • Convener will solicit agenda items, draft an agenda, send an official meeting notice to the Board members with attachments, and receive RSVPs
  • Board Meeting agendas will be organized by program area and will include reports on committee activities (Directors will submit written reports for minutes)
  • Committee Chairs who are not Board members will be asked to attend meetings whenever it is appropriate, and are always    welcome to attend
  • Secretary Haase will take minutes at the meeting and develop a draft for review and editing, first by 1st VP Marcy Litzenberg, and then by all Board members
  • Board will meet monthly: the day, time and location will be posted on the website, announced in the VOTER, and listed in the calendar of events
  • Members are welcome to attend meetings and observe the Board at work

​Board Responsibilities

  • Provides leadership to ensure financial soundness and compliance with Bylaws, policies, reporting requirements, etc.
  • Approves and oversees LWVSFC’s structure and governance
  • Provides fiscal oversight and budget management direction
  • Sets program priorities for the year and monitors progress
  • Obtains necessary resources for organizational needs
  • Represents and promotes LWVSFC in the community
  • Ensures compliance with “the League speaks with one voice”
  • Approves LWVSFC’s participation in community collaborations
  • Supports membership recruitment and engagement, leadership       development, and succession planning
  • Coordinates with the LWVNM via an official Liaison

Committee Chair and Co-Chair Responsibilities

  • Committee Chairs and Co-Chairs can be either Board members or off-Board members of the LWVSFC
  • Chairs review the current job description and other documents to  determine the job responsibilities, policies and procedures, etc.  
  • Chairs work with committee to set goals and priorities
  • Chairs ensure that committees actively work together to accomplish their tasks and achieve their goals
  • Chairs monitor progress and report results to the Leadership Team
  • Chairs work with PR/Communications 










Administration Responsibilities

  • Serves as first point of contact for the LWVSFC       
  • Evaluates administrative and office needs and recommends    changes, as appropriate
  • Establishes data management systems (including membership database, financial records and computer filing systems) and makes recommendations to the Board for improvements that would increase efficiency and minimize organizational risk
  • Reviews all policies and job descriptions as required by the   Bylaws and makes recommendations to Board for needed revisions, additions, etc.
  • Establishes procedures for receiving/responding to incoming messages, information requests and other communications with the organization
  • Establishes appropriate financial procedures and works with   the Finance Committee to ensure compliance with all requirements for 501(c)(3) status
  • Works with PR/Communications Committee to establish  protocols for determining who can “speak for the League,” what can be said, and what the guidelines 

Member & Program Services Responsibilities

Public Relations & Communications Responsibilities

  • Serves as first point of contact for the LWVSFC

  • Establishes procedures for receiving/responding to incoming         messages, information requests and other communications with the organization
  • Establishes appropriate financial procedures and works with the     Finance Committee to ensure compliance with all requirements for 501(c)(3) status
  • Works with PR/Communications Committee to establish protocols for determining who can “speak for the League,” what can be said, and what the guidelines 
  • ​Responsible for communicating LWVSFC positions and publicizing   activities and calendars to the larger community through press releases, news articles and electronic media and coordinating the  disemination of information to the membership.
  •  Develop a comprehensive communications plan that includes       website,  the VOTER, ConstantContact, Facebook, blog, etc.
  • Oversee/manage all PR, publicity, and communications
  • Oversee/manage the use of electronic media as a PR/Communications tool: website, social media, ConstantContact, the VOTER, etc.
  •  Establish protocols for PR/communication materials
  • Work with Administration Committee to establish protocols and   identify individual(s) to “Speak for the League” on specific issues
  • Collaborate with Leadership Team and other committees to strengthen PR/communications and raise awareness of LWVSFC




Voter Services Responsibilities

  • ​​Responsible for developing and overseeing Voter Services projects to  encourage active, responsible involvement in local government,  including planning and implementing voter registration activities,  producing voters guides, sponsoring candidate forums for local elections, and educating voters on local government issues.
  • Develop Voter Guides for local elections
  • Plan and implement candidates’ forums and educational forums that inform members/community of current issues
  • Maintain an updated “Who’s Who” list of elected and appointed   officials as a resource for the membership and the public
  • Plan and oversee adult/high school voter registration activities
  • Work with PR/Communications to manage the distribution of election information via the website, advertising, in the VOTER, etc.
  • Explore opportunities for creation of a Speakers Bureau

Action & Advocacy Responsibilities

  • Responsible for identifying opportunities to take action locally based  on approved League positions and for promoting League positions on policy issues to local government officials, the media and the public.
  • Determine priorities for fiscal year – i.e. Local Economic              Development
  • Develop and carry-out a comprehensive action plan for addressing priority issues 
  • Engage the membership in action and advocacy activities
  • Identify potential collaborators in A&A activities and create coalitions and partnerships, as appropriate.
  • Monitor emerging local issues and propose appropriate activities to address those issues, including formal studies, when appropriate
